Damage protection, coverage limits, claim process, cancellation policy, and dispute resolution for every move booked with Undergrads.

Our Service Models
Undergrads provides two service models:
- Labor-Only Services — loading, unloading, and in-home moving labor, available in all Undergrads markets. For Labor-Only Services, Undergrads does not transport your belongings; you (or a third party you hire, such as a truck rental or freight company) provide and operate the vehicle.
- Full-Service Moving — moving labor plus transportation in an Undergrads-provided vehicle, available exclusively in the Charlotte, North Carolina market.
Any provision of these Terms referring to transportation, transit, "Truck + Movers," or "Full-Service Moving" applies only to Full-Service Moving booked in Charlotte, NC.
Damage Protection Overview
Undergrads provides basic Released Valuation coverage on all moves at $0.60 per pound per damaged item, with maximum liability caps:
- $1,000 per order — Labor-Only Services (all markets)
- $2,000 per order — Full-Service Moving (Charlotte, NC only)
This coverage applies to household goods damaged while in the possession of movers and is not insurance — it is weight-based valuation only. For Full-Service Moving in Charlotte, Undergrads complies with applicable North Carolina requirements for household-goods movers.
What is Covered
- Household property damage (wood floors, carpet, walls, doors) caused directly by movers while on-site
- Items dropped or damaged during loading/unloading by movers
- Real property damage up to the order liability caps
- Full-Service Moving (Charlotte only): damage occurring during transit in an Undergrads-provided vehicle
- General liability coverage protects customers' residences from direct mover actions on-site
Critical requirement: Damage must be documented on the work order before movers depart the service location.
Coverage Exclusions
Undergrads does NOT cover:
- Pre-existing damages (must be disclosed before the move)
- Minor damages (dents, small nicks, scratches)
- Particleboard, chip-core, or pressboard furniture
- Synthetic or vinyl flooring (scratching, nicking, tearing)
- Natural materials (marble, slate, stone)
- Electronics and appliances failing after shipment; unboxed TVs and displays
- Oversized items exceeding 300 lbs or clearance limits
- Non-inventoried items (no prior documentation)
- Reassembled items (assembly-related damage)
- Prohibited items (hazardous materials, perishables, contraband)
- Items you packed (only Undergrads-packed items are covered)
- Extraordinary value items (over $100 per pound) unless pre-inventoried
- High-value exclusions: cash, jewelry, firearms, coins, prescriptions
- Transit damage on Labor-Only orders (transit coverage applies only to Full-Service Moving in Charlotte, NC)
- Consequential damages (missed move dates, downstream costs, etc.)
- Acts of God (natural disasters, war, strikes)
- Items damaged after movers depart, or after loading is complete on Labor-Only orders
Claim Process and Deadlines
- Report damage on the work order before movers leave the site.
- Contact Undergrads via the contact page or call (864) 256-1166.
- File the claim within the applicable window:
- Labor-Only Services: within 14 days of move completion.
- Full-Service Moving (Charlotte, NC): as soon as possible, and no later than nine (9) months after delivery, consistent with North Carolina requirements for household-goods movers. If a claim is denied in whole or in part, any legal action must be brought within two years and one day from the date of written notice of denial.
Claims submitted after the applicable window will not be considered valid, except where a longer period is required by law.
Claim Resolution Options
Undergrads has sole discretion to either:
- Repair the damaged item through our chosen repair company (unauthorized estimates or repairs will not be reimbursed), or
- Compensate based on item weight, condition, and depreciation, up to $0.60 per pound, subject to the applicable order cap.
Real Property Damage Specifics
- Wood floors: Only specific damaged areas repaired; full refinishing not included.
- Handrails, walls, doors, drywall: Minor cosmetic damage excluded; significant damage handled at Undergrads' discretion.
- Mailboxes: Repair, reimbursement of repair costs, replacement, or replacement cost (Undergrads' choice).
- Lawns, landscaping, sprinklers, sidewalks, driveways: No liability assumed.
Limitation of Liability
To the fullest extent permitted by law, Undergrads' total aggregate liability arising out of or relating to the Services, the Undergrads Platforms, or these Terms shall not exceed the greater of (a) the amounts you paid Undergrads for the order giving rise to the claim, or (b) the applicable Damage Protection cap stated above. Undergrads is not liable for indirect, incidental, special, or consequential damages, including missed closing or lease dates and related downstream costs.
Nothing in these Terms limits or excludes liability that cannot be limited or excluded under applicable law, including any non-waivable obligations Undergrads has as a regulated household-goods mover for Full-Service Moving in North Carolina.
Cancellation Policy
- $5 charge to confirm and validate the card on file.
- Free cancellation if cancelled 48+ hours before the scheduled date and time.
- 1-hour labor charge (number of movers × hourly rate) if cancelled within 48 hours.
- 2-hour labor charge (number of movers × hourly rate) if cancelled within 24 hours.
- 50% reduced rate applies if booked less than 48 hours prior.

Accurate Inventory & Site Conditions
- All items must be listed during the scheduling call. Items not listed cannot be moved.
- If movers discover unlisted items or oversized conditions, Undergrads assists only with listed items.
- Undisclosed or materially larger moves are subject to a 2-hour minimum or actual labor cost (whichever is greater).
- Moves will NOT be completed if unsafe conditions exist: infestations, mold, evictions, hoarding, hazardous substances, dangerous animals, excessive pet odors, or unruly persons.
- Additional items can only be added via a separate reservation.
Dispute Resolution and Arbitration
Informal resolution (60 days): Before filing an arbitration demand or other claim, you and Undergrads agree to attempt in good faith to resolve any dispute informally for 60 days from the date written notice of the dispute is sent to the other party.
Binding arbitration: Except as stated below, any dispute arising out of or relating to the Services or these Terms will be resolved by binding arbitration administered by the American Arbitration Association (AAA) before a single arbitrator under the AAA Consumer Arbitration Rules, available at www.adr.org/Rules or 1-800-778-7879. Arbitration fees and fee allocation are governed by the AAA Consumer Arbitration Rules. The arbitrator's decision is final and binding, and judgment may be entered in any court of competent jurisdiction.
Small claims exception: Either party may bring an individual claim in small claims court in the county where you reside or where the move occurred, instead of arbitration.
Class action and jury trial waiver: All disputes must be brought on an individual basis. Neither you nor Undergrads may participate in a class action, class arbitration, or representative proceeding, and both parties waive the right to a jury trial. If this waiver is found unenforceable as to a particular claim, that claim (and only that claim) shall proceed in court.
Your right to opt out: You may opt out of this arbitration agreement by emailing scheduling@undergrads.com with the subject line "Arbitration Opt-Out" within 30 days of first accepting these Terms. Opting out does not affect any other provision of these Terms.
Coordinated filings: If 25 or more arbitration demands of a substantially similar nature are filed against Undergrads within 180 days by the same or coordinated counsel, the parties agree the AAA shall administer them in batches under its applicable multiple-case procedures, with a bellwether process before the remaining demands proceed.
Time limit: Any claim arising out of or relating to the Services or these Terms must be brought within one (1) year after the claim arises, except where a longer period is required by applicable law (including claims subject to North Carolina household-goods regulations).
Exceptions: Either party may seek injunctive relief in court for intellectual-property infringement or misuse of the Undergrads Platforms.
Additional Insurance Options
Except for Full-Service Moving in Charlotte, NC, Undergrads does not transport your belongings, and additional transit coverage is not available through us. Customers should consider:
- Homeowners / renters insurance (often covers transit damage)
- Third-party moving insurance (review exclusions carefully)
- Truck rental or storage company insurance (available from rental partners)
Personal Injury and Moving Equipment
For safety, customers are asked NOT to participate in loading or unloading. Customers who choose to do so assume the risk of, and indemnify Undergrads against, resulting injuries or damages.
Moving equipment (hand trucks, dollies, pads, straps provided on Labor-Only orders):
- No warranties, express or implied, regarding merchantability or fitness.
- The user assumes all operational risks.
- The user must inspect equipment before use and report defects immediately.
- The user indemnifies Undergrads for injuries or damage arising from equipment operation.
- All equipment must be returned before the crew departs; the user is liable for unreturned equipment.
Communication and Consent
By providing your phone number when booking, contacting us, or applying to work with us, you consent to receive transactional text messages about your booking, such as confirmations, schedule updates, and arrival times.
Marketing and promotional texts are sent only with your separate consent. Agreeing to receive marketing texts is not a condition of purchasing any services. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time or HELP for help, or contact customer support. Opting out of marketing messages does not affect transactional messages about an active booking.
Website Terms of Use
The Undergrads website and its content (text, graphics, logos, images, and software) are owned by or licensed to Undergrads LLC and protected by intellectual-property laws. You may use the site only for lawful purposes related to obtaining or managing our Services. You may not scrape, copy, republish, or reverse-engineer any part of the site, interfere with its operation, or submit false or misleading information through our forms. The website is provided "as is" without warranties of any kind, express or implied, including fitness for a particular purpose and non-infringement.
Website Accessibility
Undergrads is committed to providing a website that is accessible to the widest possible audience, regardless of technology or ability. We strive to conform to applicable accessibility standards, including the Web Content Accessibility Guidelines (WCAG) 2.1 Level AA, and we treat accessibility as an ongoing effort that we improve over time.
We do not warrant or guarantee that the website is or will be free of accessibility barriers, that it will be accessible at all times, or that it conforms fully to any particular standard. Accessibility may be affected by third-party content, plugins, integrations, or services that we do not control, including booking tools, mapping services, and embedded media, and we disclaim liability for the accessibility of such third-party components.

To the fullest extent permitted by law, your use of this website is governed by the Limitation of Liability, Indemnification, and Dispute Resolution provisions of these Terms, including the requirement to attempt informal resolution before pursuing other remedies.
Indemnification
You agree to indemnify and hold Undergrads, its subsidiaries, affiliates, and their officers and employees harmless from claims arising from:
- Violation of third-party rights;
- Improper platform use;
- Breach of these Terms;
- Violation of laws; or
- Negligence or willful misconduct (including packing).
This obligation survives termination of these Terms.
Governing Law
These Terms are governed by the laws of the State of South Carolina, without regard to its conflict-of-law provisions, except that (a) the Federal Arbitration Act governs the Dispute Resolution and Arbitration section, and (b) Full-Service Moving in Charlotte, NC is additionally subject to applicable North Carolina household-goods moving regulations, which control in the event of a conflict.
Changes to These Terms
We may update these Terms from time to time. The "Last Modified" date at the top of this page reflects the most recent version. Changes apply to moves booked after the date they are posted; the version in effect when you book governs your move.
